Managing your workload like a pro...

Even if you're not ready to outsource. Yet.

Hi there - fellow jugglers of all the things!

Yes... I know all about the balancing act that is managing workload, especially when you're in a bit of a catch-22. You know the drill - you can't say no to incoming work (hello, cash flow!), but you also can't find enough hours in the day to get everything done.

Sounds familiar?

First of all, take a deep breath. You're not alone in this chaotic world, and I’m here to help with some tips, tricks, and diary ideas to keep you (and your sanity) in check until you’re ready to outsource (and when you are, you know who to call - nudge nudge, wink wink!)

~ Prioritise your workload

We all love a good to-do list, but not all tasks are created equal. If everything's a priority, nothing is. So how do you sort the urgent from the not-so-urgent?

Try the ABC method:

  • A tasks: must-do-today-or-the-world-will-implode.
  • B tasks: should-do-today-but-won’t-cause-a-catastrophe-if-you-don’t.
  • C tasks: nice-to-do-but-won’t-break-anything-if-left-until-tomorrow.

Sort your tasks like this each morning, and you'll always know what really needs your attention.

~ Time blocking 

Instead of just having one never-ending to-do list, break your day into time blocks. Think of them like appointments - but with yourself. Use these blocks for specific tasks like emails, client work, or a creative project.

Here’s a handy example, but you should tailor it to you:

  • 9-10 am: deep work (no emails, no distractions - just you and your most important task)
  • 10-11 am: admin stuff (emails, quick replies, invoices - basically all the things you don’t love, but have to do)
  • 11 am - 12 pm: creative work (the fun stuff... whether it’s writing, brainstorming, or sketching out ideas)

Give yourself a little buffer in between blocks for tea, a quick Instagram scroll, or just a breather. And stick to the plan! When the block ends, stop and move on. 

~ Learn to say 'no' (without actually saying no!)

Okay, I hear you: "But Mandi, I can’t say no!" I get it. Cash is king. But you don’t have to say "yes" to everything right away.

Try this instead: “I’d love to help, but I’m fully booked this week. How about we schedule it for next Monday?” Now, you’ve bought yourself time, holding yourself accountable for other tasks *and* you still look like a superman-di. 

~ Batch tasks 

Doing similar tasks in one go will save you so much time. This is what we call batching. It’s like making a batch of cookies (if you are making some, please save me one) instead of baking them one by one - cos that's just mad, right? 

For example:

  • Set aside an hour to reply to all emails instead of replying to each one as it comes in.
  • Dedicate a time block to creating social media content for the entire week instead of posting on the fly.
  • Batch your invoicing and admin work in one go instead of doing bits here and there.

Batching tasks is not only more efficient, but it also keeps your head in the right space for each type of work. Less brain-switching = more energy!

~ Brain dump

Ever had those days when your brain feels like it’s juggling 20 flaming swords? Yeah, me too. When that happens, do a brain dump.

Grab a notebook, a fancy app, or even a napkin (you know, I don’t judge cos I've been there), and just write down every single thing swimming around in your head. Once it’s all out in front of you, you can start sorting it into the ABC method or assign it to future time blocks.

~ The 2-minute rule

If something on your to-do list can be done in two minutes or less - do it. Do it now. Seriously. It takes longer to write it on your list than to just get it over with. Trust me, this simple rule is a game changer.

~ Know when it's time to ask for help

At some point, no matter how many systems you’ve got in place, the workload may still become overwhelming. That’s when you know it’s time to outsource. Think about the tasks that drain your energy—whether it's admin, diary management, or creative tasks like social media. That’s where a Virtual Assistant comes in.

By the time you're ready to let go of some of those tasks, you’ll know exactly what needs doing, and you can hand them over to someone (ahem, me) who loves doing them!

Imagine freeing up your time to focus on the bits of your business that make you truly happy. Outsourcing doesn’t have to break the bank, and it allows you to grow without the overwhelm.

~ A little reminder

Lastly, remember that you’re only human. Life happens, plans change, and sometimes, things fall through the cracks. When that happens - forgive yourself, laugh it off (if you can), and move on. A well-timed meme or dance break can work wonders!
